You’ll need two things to make a drop-down list in Excel: A list of values (within a cell range) and a blank cell for data entry.

How To Make A Drop Down In Excel 2010
- Make a list for the dropdown menu.
- Choose the items, give them a name, and then hit Enter.
- Select the cell where you want the dropdown to appear.
- The Data tab should be selected.
- Select Data Validation from the drop-down menu.
- Select the List option.
- After that, type a “=” sign, followed by the Name from step 2.
- Then press the OK button.
Adding A Drop-Down List In Excel 2010
The methods outlined in the following article will result in a drop-down list from which you can choose an option. This is perfect for cases where you need to find a specific value or type of text in a cell but doesn’t want to deal with the issues that can arise when individuals manually enter the data.
Step 1: Start Excel 2010 and open your spreadsheet.
Step 2: In your spreadsheet, create a column for the objects you want to include in the list. It isn’t necessary for it to be the first column. You can make it whatever column you want.
Step 3: Select all of the entries you want to include in the list using your mouse, then put a name in the Name area above the top-left corner of the spreadsheet and hit Enter. When generating this name, keep in mind that no spaces or special characters are allowed.
Step 4: Choose the cell where the drop-down menu should appear.
Step 5: At the top of the window, select the Data tab.
Step 6: In the Data Tools section of the Office ribbon, click the Data Validation button.
Step 7: Under Allow, select the List option from the drop-down box.
Step 8: In the Source area, type a “=” symbol followed by the name you gave your range of cells. For example, in the image below, I’m entering =DaysOfTheWeek.
Step 9 (optional): At the top of the window, click the Input Message tab.
Step 10 (optional): In the Title area, create a title for the drop-down list, then in the Input Message field, type an input message that you wish to appear whenever the cell is selected. This is a nice area to include drop-down list instructions.
Step 11: Select the Error Alert tab.
Step 12 (optional): Choose an alert style, then give the alert a title and a message. A Stop alert will prevent anyone from entering a value that is not in the list, but a Warning or Information alert will accept invalid entries but just notify the user that their entry is invalid.
Step 13: To save your changes, click the OK button at the bottom of the window.

How To Edit A Drop-Down List In Excel Based on A Cell Range
- Add or delete the desired item from the worksheet or section of your current worksheet where your list items are located.
- Select the cell containing the drop-down list, then click Data Validation in the Data menu at the top of your screen, then select Data Validation again from the menu.
- Adjust the cell range in the pop-up menu’s Settings tab, under Source, to include the new cell you entered data into or to exclude the one you erased it from. Then, to preserve your changes, click OK.
How To Edit A Drop-Down List In Excel Based On A Named Range
- Add a new item to your shopping list or remove one that you don’t want.
- Select Name Manager from the Formulas menu.
- Edit the “References” formula in the named range that your drop-down list is based on to either include or exclude the cell you just added or deleted. Then, to preserve your changes, click “Close,” and then “Yes” to confirm.

- Select Data Validation from the Data tab.
- In the pop-up window’s settings tab, under Source, add or delete list items as needed, ensuring that each item is separated by a comma and nothing else. Then, to preserve your changes, click OK.

Creating A Drop-Down List In A Cell
Many errors occur while manually entering data into spreadsheets, particularly when inserting data into text fields. Excel data validation tools limit the set of potential values to a predefined list, reducing the inaccuracy of Excel data entering. Instead of typing text into the data entry form template, users can select an item from a drop-down list with limited options.
Do the following to make your own drop-down list for the cell:
1. For the drop-down list, create a column or a row of the entries in the active spreadsheet.
2. Select the cell for which a drop-down list is required for data validation (cell B2, in this example).
3. In the Data Tools group on the Data tab, click Data Validation:
4. On the Settings tab of the Data Validation dialogue box:
Select the List option from the Allow drop-down list.
Select the range that contains the drop-down list entries in the Source box (in this example, the range is D1:D8).
To display the drop-down list, check the In-Cell Dropdown option. Otherwise, Excel validates your data entry but hides the drop-down menu from which you can choose things from the list.
